Keep a Brand Voice Rewrite From Changing the Facts
A tone rewrite should change how a message sounds without quietly changing what it says. Separate factual anchors from style preferences before giving the draft to an assistant. Use public or fictional examples when developing the workflow.
Work through an example
For a fictional support notice, protect the service date, affected feature and help link. Describe the desired voice with concrete choices: short sentences, plain language and a calm opening. “Make it friendly” alone does not explain whether jokes, emojis or informal promises are acceptable.
Provide a small authorised style sample and say which qualities to follow. Ask the assistant to avoid copying distinctive phrases unnecessarily. Request the rewritten notice plus a separate list of factual anchors it preserved.
Check the result
Compare the result with the original. Check obligations, limitations and phrases such as “may” or “will.” A warmer tone must not create a guarantee the original message did not make. Confirm that the support link is unchanged and that the affected audience remains clear.
Read the final text aloud for awkward wording, then remove the internal editing notes before publication. Retain the source draft and approved version together. This method helps preserve scope, but a factual comparison by a responsible editor is still required.
